Program Assistant
Data and programme management/support:
• Creates and executes project work plans based on the UN standards and revises as appropriate to meet changing needs and requirements.
• Allocating budget to different countries as required in coordination with the Budget and Finance unit.
• Coordinating with relevant suppliers and internal units to produce advocacy and promotional material such as: USB, laptop case, rollup stand, book, document, report, brochure, newsletter, periodical, campaign material (leaflets, posters, calendars etc), or other product, in print or electronically (including CD, DVD, video and web material).
• Coordinate with Planning, Budget, Monitoring and Evaluation Unit in matters related to budget analysis and technical monitoring exercises.
• Provides updated reports on the financial situation of NTD funds in the Regional office workplan as well as the country offices workplans.
• Contribute to the writing of the progress reports as well as the financial reports to the donors.
• Enters data from quarterly reports received from countries in the region in the NTD database.
• Analyzes data provided by focal points from ministries of health and prepare reports and presentations in line with the Regional Advisers guidance.
Logistical support (event organizing):
• Carries out all steps and procedures related to launching of a WHO event.
Constantly monitors and reports on the progress.
• Plans, arranges and coordinates inter-country travel with WHO Regional Offices and external partners and event organizers.
Administrative support and office Management:
• Coordinates Intra- and Interdepartmental matters necessary to expedite projects; and facilitates and troubleshoots the solution of problems associated with designing, implementing, leading, and completing projects. Resolve operational and procedural problems and conflicts if necessary.
• Manages day-to-day operational aspects. Monitor and report on activities and provide relevant management information.
• Effectively applies methodology and enforces standards.
• Responsible for ensuring activities are materialized in a timely manner.
• Initiate, through Oracle (database) procurement module, requisitions for goods procurement
Human Resource :
• Initiate short term contracts for consultants, Temporary Advisers (TA), Agreements for Performance of Work (APW), Technical Services Agreements (TSA), and General External Services requests (GES) through Oracle (database) procurement module. Monitor and record receipt of deliverables, and initiate and monitor payments as needed.
• In coordination with the HR department finalize the creation and filling of a position and execute operations on the HR divisional workplan.
• Process designation/re-designation of WHO collaborating centers; monitor submission of annual reports.
• Act as Leave Administrator; follow up with Team members to ensure confirmation of leaves.
